Generating Reports

Step 1: Access Reports

  1. Click Reports in sidebar
  2. Select report category
  3. Choose specific report

Step 2: Set Parameters

Configure report filters:

Step 3: Generate

  1. Click Generate Report
  2. View results in browser
  3. Export if needed

Setting Up a Schedule

  1. Generate a report with your filters
  2. Click Schedule This Report
  3. Configure:

View and edit at Reports → Scheduled:

  • View all schedules
  • Edit parameters
  • Pause/resume
  • Delete schedules

Customizing Dashboard

  1. Dashboard → Customize
  2. Add/remove widgets
  3. Drag to reorder
  4. Set widget-specific options
  5. Save layout

Custom Reports

Build your own reports (Professional/Enterprise):

Report Builder

  1. Reports → Custom → New Report
  2. Select data source (POs, Vendors, etc.)
  3. Choose fields to include
  4. Add filters
  5. Select grouping
  6. Choose visualizations
  7. Save and name report

Field Selection

Available fields vary by data source:

Purchase Orders:

  • PO Number, Date, Status
  • Vendor, Department
  • Line items, quantities, amounts
  • Created by, approved by
  • Custom fields

Calculated Fields

Create custom calculations:

Total with Tax = Subtotal * 1.15
Days to Approve = Approval Date - Submit Date
Budget Remaining = Budget Total - Total Spent

Creating Visualizations

  1. In report builder, click Add Chart
  2. Select chart type
  3. Map data fields:
    • X-axis: Categories or dates
    • Y-axis: Values
    • Color: Grouping (optional)
  4. Configure options
  5. Add to report

Performance Tips

Filter First

Apply filters before generating to improve speed:

  • Use date ranges
  • Limit to specific departments
  • Select only needed statuses

Use Scheduled Reports

For heavy reports:

  • Schedule for off-peak hours
  • Receive via email
  • Avoid waiting for generation

Save Filters

Save commonly used filter combinations:

  • Click Save Filters
  • Name your filter set
  • Quickly apply later
