Catalog Purchasing
Catalog Purchasing streamlines buying from pre-approved item lists: buyers browse, add to a cart, and checkout—which typically creates a purchase requisition automatically so the standard PR → PO flow can continue.
Overview
Catalogs help organizations:
- Control what employees can order (approved SKUs, prices, vendors)
- Speed up routine purchases with search and familiar e-commerce patterns
- Keep compliance by routing catalog checkouts through requisitions and approvals
Buyer experience
Browse and search
- Open Catalog (or Shop / Catalog purchasing)
- Browse categories or search by name, SKU, or keyword
- Open item details for description, unit, price, and stock indicator (if shown)
Stock awareness
If inventory is integrated, the item may show in stock / low / out of stock to reduce ordering mistakes.
Cart
| Action | Result |
|---|---|
| Add | Puts the line in your cart with default quantity |
| Update | Changes quantity or options (if any) |
| Remove | Deletes a line from the cart |
| Clear | Empties the entire cart |
Your cart persists per session/user according to tenant settings.
Checkout
- Review cart lines and totals
- Click Checkout (or Submit cart)
- Waqti converts the cart to a purchase requisition with catalog lines pre-filled
- Complete any required fields (department, justification, delivery)
- Submit the requisition for approval
After approval, convert or auto-generate the purchase order per your workflow—the same as non-catalog requisitions.
Admin experience (catalog management)
Administrators (or catalog managers) maintain the approved assortment:
| Task | Description |
|---|---|
| Catalogs CRUD | Create, edit, archive, or delete catalogs |
| Items | Add or update catalog lines: description, SKU, price, unit, vendor |
| Stock toggle | Enable/disable stock display or stock checks per item if your setup supports it |
Keep catalogs current
Retire obsolete SKUs and refresh prices on a schedule so buyers do not submit requisitions with stale data.
Plan availability
Catalog Purchasing is available on Professional and higher plans.
If you do not see the catalog shop, verify your role and subscription with your administrator.
