What is Waqti?
Waqti is an enterprise procurement management system designed for businesses in Saudi Arabia and the GCC region. It handles purchase orders, approvals, budgets, vendors, and invoices.
Is Waqti available in Arabic?
Yes! Waqti is fully bilingual with complete Arabic and English support, including RTL (right-to-left) layouts for Arabic.
What browsers are supported?
Waqti supports all modern browsers: Chrome 90+, Firefox 88+, Safari 14+, and Edge 90+.
Accounts & Billing
How does the free trial work?
All subscription plans include a 14-day free trial with full access to all features. No credit card required to start.
Can I change my subscription plan?
Yes, you can upgrade or downgrade your plan at any time from Settings → Billing. Changes take effect immediately for upgrades, or at the end of your billing period for downgrades.
What payment methods are accepted?
We accept:
- Credit/Debit cards (Visa, MasterCard, mada)
- Bank transfer (for annual plans)
- Tap Payments gateway (secure card processing)
How do I cancel my subscription?
Navigate to Settings → Billing → Cancel Subscription. Your access continues until the end of your billing period.
Purchase Orders
How do I create a purchase order?
- Go to Purchase Orders → Create New
- Select vendor and department
- Add line items with descriptions, quantities, and prices
- Attach any supporting documents
- Submit for approval
What happens when a PO is rejected?
When a PO is rejected, you'll receive a notification with the rejection reason. You can edit the PO and resubmit it for approval.
Can I edit a PO after it's approved?
Approved POs cannot be directly edited. You need to create an amendment (PO-A) which goes through its own approval process.
What is a blanket PO?
A blanket PO is a standing order for recurring purchases from a vendor over a period of time, up to a maximum amount.
Approvals
How do approval workflows work?
Approval workflows define who needs to approve a PO and in what order. Each step can have:
- A specific user
- A role (e.g., "Department Head")
- A threshold (e.g., "Only for POs > 50,000 SAR")
Can I delegate my approvals?
Yes, if delegation is enabled for your tenant. Go to Settings → Delegation to assign another user to approve on your behalf.
What happens if an approver is on leave?
If delegation is set up, the delegate can approve. Otherwise, the PO waits until the approver returns. Admins can also reassign pending approvals.
Vendors
How do I add a new vendor?
Go to Vendors → Add New and fill in the vendor details. If vendor prequalification is enabled, the vendor will need to be approved before you can create POs for them.
What is vendor prequalification?
Prequalification is a process to verify vendors before adding them to your approved vendor list. It may include document verification, financial checks, and compliance validation.
Can I import vendors from a spreadsheet?
Yes! Go to Vendors → Import and upload a CSV file with vendor details.
Budgets
How do budget alerts work?
You can configure alerts at different utilization levels (e.g., 50%, 75%, 90%). When a budget reaches a threshold, relevant users receive notifications.
Can I track budgets by project?
Yes, Waqti supports both department-based and project-based budgets.
What happens when a budget is exhausted?
Depending on your settings:
- Soft limit: Users see a warning but can proceed
- Hard limit: POs exceeding the budget are blocked

Which ERP systems does Waqti integrate with?

Can I use SSO (Single Sign-On)?
Yes, Enterprise plans support SSO via:
